Job Description:

The Workplace Specialist is an essential part of the Workplace Design Team. The Specialist problem-solves and works with employees to offer a productive workplace environment.

You will focus on building physical office projects and staff relocations among Dow Jones and News Corp companies at our headquarters office in midtown Manhattan. The Workplace Specialist is the point of contact for all move management activities, and ensures all move management activities are performed in a manner consistent with our client's and Company's procedures. The position is based in New York.

You will:
  • Work as part of the global GREF team, reporting to the Director of Workplace Design, who is based in New York.
  • Take time to understand the teams that work in our offices, including their functions and workflows, and how each team operates with other teams across the business.

Project Delivery
  • Oversee concurrent delivery of multiple projects ranging from small cosmetic refreshes to large department moves. Responsibility includes ensuring each project is scoped, including budget, and is delivered on time and within budget.
  • Work with Workplace colleagues, functional leaders, and the executive team to develop space program needs and wishes.
  • Work with user groups, our internal clients, to help identify space planning needs and provide space alternatives when needed. Meet with them to gather information necessary to completing projects, give updates and manage expectations.
  • Manipulate furniture and seating to accommodate user groups in a high-volume, growing office environment.
  • Supply details and drawings to all internal Dow Jones teams and moving contractors.
  • Be the Workplace Design Team representative and main point of contact for all aspects of user group moves.
  • Work independently with vendors and other third-party providers on relocation and move-related matters.
  • Work with our teams to ensure that the right people are looped in for each project, including Facilities, People, IT, AV, Security and Finance.
  • Communicate with vendors on move details, ordering and crate movement.
  • Manage large group moves onsite.
  • Organize the removal of old furniture and the delivery of new items.

Strategy
  • Assist GREF leadership in identifying problems, trends, or future space needs and make recommendations.
  • Work with senior managers to identify growth needs, as they pertain to the workspace, to ensure agreement on the strategic direction of the company.
  • Organize occupancy studies and provide information or reports on workspace use.

Meeting Room Booking
  • Be the calendar administrator for the Workplace Design team and reserve rooms for project work, events, and executive requests. .
  • Coordinate restricted rooms and requests with the internal Google admin team.
  • Prioritize competing reservation requests and find compromises between internal requesters.
  • Change access to calendars based on room ownership changes or approved requests.
  • Learn about all Google Calendar enterprise changes and troubleshoot any impacts those may have on internal calendar use.
  • Educate employees about building rules and restrictions when hosting events and coordinate room setup and turnover with the Facilities team.
  • Help with company-wide events (seasonal, budget, festivals) and planning.
  • Ensure executive areas are staged for hosted events and be on-site to act as a single point of contact during the events for problems and emergencies.

Other Tasks
  • Work with other Workplace Design Team members to plan room layouts, including furniture, equipment, telecommunications, or other relevant needs.
  • Provide budget input on occupancy costs and capital projects.
  • Develop scope of work documents and review price quotes for BAU operations specific to Workplace changes.
  • Assist the Workplace Design Team with HQ workplace projects, including the creation of RFPs and contractor selection, gathering costs for the Manager of Project Planning, coordinating equipment and office furniture installations.
  • Review and resolve new and outstanding requests within the YourWorkplace email inbox.
  • Administer and update iOffice, our computer-aided facility management tool.
  • Use Google and Microsoft business applications
  • Read construction drawings

You have:
  • Five or more years of experience as a workplace leader.
  • Knowledge of the company organization and office environment
  • Strong customer service skills
  • Background in architecture or interior design.
  • Understanding of Dow Jones business and structure.
